Data Protection Compliance Acknowledgement

By acknowledging this document you confirm that you (and, where applicable, your company) understand and will comply with the following when handling personal data obtained through Freight Base, including names, addresses, telephone numbers, delivery instructions and identity or compliance documents.

Freight Base's own processing as operator of the Platform is described in the Privacy Policy. This acknowledgement covers your responsibilities as an independent business using the Platform.

1. Roles

You are a controller of personal data relating to your own staff, and of customer, consignor and consignee data that you decide how to use in providing your transport or forwarding services. Freight Base is a controller of Platform account, billing and marketplace data, and may act as a processor where it processes data solely on a business customer's documented instructions.

2. Lawful use

You agree to:

• use Platform personal data only to perform Bookings, comply with law, or as otherwise permitted;
• not sell, scrape or use contact details for unrelated marketing;
• keep data accurate and no longer than necessary;
• apply appropriate technical and organisational security measures;
• not transfer personal data outside the UK without a lawful transfer mechanism.

3. Sharing

You may share booking data with insurers, sub-contractors, warehouses and regulators where necessary to perform the Booking or to meet a legal obligation. You must ensure any sub-contractor is under equivalent confidentiality and data protection obligations.

You consent to Freight Base sharing your compliance and identity data with insurers, verification providers (including Veriff), payment providers and regulators where required to operate the Platform and meet legal duties.

4. Incidents and rights

You must notify Freight Base promptly at [email protected] if you become aware of a personal data breach affecting Platform data, and cooperate with reasonable requests from data subjects to access, correct or erase data where the law requires it. Individuals may also complain to the Information Commissioner's Office.

5. Confirmation

You confirm that you have read this acknowledgement and the Privacy Policy, that you have a lawful basis for the processing you carry out, and that you will keep these obligations under review as your use of the Platform changes.
